Free invoice generator

Free invoice tools usually come with a catch — a watermark, a monthly cap, or an export locked behind an upgrade you discover after entering everything.

TopwebSuite's invoice generator is free to use, produces an unmarked PDF, and saves your business details and customers so the second invoice takes a fraction of the time the first did.

What you get

  • Unlimited line items with quantity, unit price and automatic totals.
  • Your logo and business details, applied from your profile.
  • Tax and discount handled as separate lines so the maths is visible.
  • Multi-currency billing.
  • Clean PDF export with no watermark.
  • Saved customers and items for reuse.
  • Web and Android on the same account.

How to create an invoice in about two minutes

  1. Set up your business once — name, address, logo, tax number. This carries to every future document.
  2. Add the customer. Use the registered business name for the billing entity, not a trading name, or accounts payable may query it.
  3. Number it and date it. Set a due date rather than writing “on receipt”.
  4. Itemise the work. One line per deliverable, described specifically enough that someone who was not in the meeting understands it.
  5. Add tax if you are registered, and a discount if you agreed one.
  6. Add payment details — bank account or accepted methods.
  7. Preview and export. Check totals, then download or send.

Mistakes that cost you time later

  • Reusing invoice numbers. It breaks your records and creates real problems at audit.
  • Billing the wrong entity. A subsidiary and its parent are different customers with different payment processes.
  • Omitting a purchase-order number where required — some finance systems reject the invoice outright.
  • Rounding inconsistently. If tax is calculated per line, round per line; mixing methods produces totals that do not reconcile.
  • Adding tax when unregistered. Charging tax you are not entitled to collect is a serious problem, not a paperwork slip.

Sending the invoice so it gets actioned

The document is half the job. The other half is delivery.

Attach the PDF rather than pasting the detail into the message body — finance teams file attachments. Put the invoice number and amount in the subject line. Send it to the accounts address if the customer has one, and copy your day-to-day contact so they know it has gone.

Then record it. An invoice you cannot find in six weeks is an invoice you will not chase.

What the free generator will not do

  • It will not chase payment. It produces the document and the record; the follow-up is yours.
  • It is not accounting software. It creates invoices, not ledgers or tax returns.
  • It will not tell you your tax obligations. Registration thresholds and rates vary by country, and that is a question for your accountant.

Frequently asked questions

Is the invoice generator completely free?

Yes — create, download and share invoices with no watermark and no card required. Paid plans add higher document volumes and the wider platform, not basic invoicing.

Do I need to sign up to create an invoice?

An account lets your business details, logo and customers save so future invoices take seconds rather than minutes. That reuse is where most of the time saving comes from.

Does the PDF have a watermark?

No. The exported invoice carries your branding, not ours.

Can I edit an invoice after sending it?

Best practice is not to. Issue a credit note or a corrected invoice with a new number referencing the original — silently changing a sent invoice creates two versions of the same number.

Can I use it on my phone?

Yes, via any browser or the Android app — useful for invoicing from a site visit rather than waiting until you get back to a desk.
