Cleaning is the easiest service to under-quote, because “clean” means different things to the person paying and the person cleaning. The defence is a specification, not a price.

One-off versus contract cleaning

These are different products and should be quoted differently.

One-off — end of tenancy, post-construction, deep clean. Priced on the state of the property, which means a site visit or, at minimum, photographs. Quoting these blind is how a day's job becomes three.

Contract — recurring, priced per visit against a specification, with a term and notice period. The unit economics depend on frequency, since a weekly clean takes far less time per visit than a monthly one.

The specification is the quote

List tasks by area, and state frequency where it varies:

  • Kitchens — surfaces, sinks, appliance exteriors; interiors of appliances only if stated.
  • Bathrooms — sanitary ware, tiles, mirrors, floors.
  • Floors — vacuum, mop, and which floor types.
  • Surfaces — dusting reachable surfaces; high-level only if specified.
  • Windows — internal only, unless external is priced separately.
  • Waste — emptied to a stated collection point.

Anything not listed is not included, and saying that explicitly is what makes the specification useful.

Exclusions worth naming

  • Inside ovens, fridges and freezers, unless specified.
  • External windows and anything requiring access equipment.
  • Carpet and upholstery deep cleaning.
  • Clearance of personal belongings or clutter before cleaning can start.
  • Removal of builders' waste or bulk items.
  • Mould remediation and pest issues.
  • Biohazard cleaning.

Clutter clearance is the most common cause of a one-off clean overrunning. If the property must be clear before you start, say so.

Access, keys and utilities

State practical assumptions: how access is provided, whether keys are held, whether someone will be present, and that working power, water and hot water are available.

For contract work, also state what happens if access is not available on a scheduled visit — usually that the visit is chargeable, since the staff time was committed. Agreeing that in advance prevents a monthly argument.

Materials, equipment and staffing

Say who supplies cleaning materials and equipment. For contract cleaning, clients often expect to supply consumables — hand towels, soap, bin liners — while you supply cleaning chemicals and equipment. Whichever applies, state it.

For contract work, state the number of cleaner-hours per visit rather than only a price. It is what allows the client to judge value and what protects you if they later expect more work in the same window.
