Creating a receipt in under a minute
- Select or add the payer. Saved customers pull through from your CRM.
- Enter the amount and date received. Use the date the money actually arrived, not today's date if they differ.
- Choose the payment method. This is the field that makes the receipt useful later.
- Reference the invoice, or describe what was paid for.
- Add a balance if this was a part payment.
- Export the PDF and send it, or hand it over.
Issuing receipts on the spot
For cash businesses and field collections, the receipt needs to be issued at the point of payment — a receipt promised for later frequently never arrives, and that is precisely where disputes come from.

Common errors
- Omitting the payment method. Without it, a receipt cannot resolve a dispute about how something was settled.
- Dating it today instead of when payment arrived. This distorts your records and, for cash, your reconciliation.
- No invoice reference. A customer with several open invoices needs to know which one this cleared.
- Not showing the balance on a part payment, so the customer assumes the account is settled.
- Reusing numbers. Two receipts sharing a number make reconciliation impossible.
What it will not do
It creates receipts and keeps a record of them. It is not a point-of-sale system, it does not take payments, and it is not accounting software. For a business that needs to record payments properly and hand the customer something professional, that is usually the whole requirement.
