Receipt generator (Nigeria)
Most Nigerian business payments settle by bank transfer, and most are confirmed over WhatsApp. That combination makes the receipt genuinely useful: it is the document that ties a transfer alert to a specific invoice.
This generator issues receipts in naira, records the method and reference, and produces a PDF that shares cleanly.
What a Nigerian receipt should show
- Your business name, address and TIN where you have one.
- A unique receipt number.
- The date payment was received.
- The payer's name, and their company where relevant.
- The amount in naira, in figures — and in words for larger sums.
- The payment method, with the transfer reference or teller number.
- What the payment was for, referencing the invoice number.
- VAT shown separately where it applied on the underlying invoice and you are registered.
- Any balance outstanding.
Matching transfers to invoices
The most common reconciliation problem for Nigerian businesses is an unreferenced transfer. Money arrives, the name on the alert does not match any customer, and nobody can say which invoice it settles.
Two habits fix most of it. On the invoice, state that the invoice number should be used as the transfer narration. On the receipt, record the transfer reference and the sender's name as it appeared on the alert — not as you know the customer. When a query arises months later, that is the field that resolves it.
Cash payments
Where cash is taken, the receipt is the only record. Issue it at the point of payment, keep the numbering sequential, and reconcile the day's receipts against what is banked before the day closes.
For larger cash amounts, write the figure in words as well as numerals. It is a small step that makes subsequent alteration of the document impractical.
VAT and receipts
Where you are VAT registered and VAT was charged on the invoice, the receipt should reflect it so the customer's records are complete.
The receipt does not replace the tax invoice, though — VAT is accounted for on the invoice, and a customer needing to support an input claim needs that document. Issue both, and reference the invoice on the receipt so the pair is traceable.
Rates and registration requirements change, so confirm your current position with your accountant rather than relying on any stored default.
Frequently asked questions
What should a receipt in Nigeria include?
Your business name, address and TIN, a unique receipt number, the date received, the payer's name, the amount in naira, the payment method with transfer reference, what it was for, VAT where applicable, and any balance.
How do I match a bank transfer to the right invoice?
State on the invoice that the invoice number should be used as the transfer narration, and record the transfer reference and the sender name exactly as it appeared on the alert when you issue the receipt.
Does a receipt replace a tax invoice for VAT?
No. VAT is accounted for on the invoice, and a customer supporting an input claim needs that document. Issue both and reference the invoice on the receipt.
Should I write the amount in words on a receipt?
For larger cash amounts, yes. It makes later alteration of the figure impractical and is a sensible precaution.
Can I send the receipt by WhatsApp?
Yes — the generator produces a PDF that shares cleanly, which gives both parties a timestamped copy that is easier to find later than a paper slip.
