A waybill travels with the goods. It tells the driver what they are carrying, tells the recipient what to expect, and — once signed — proves the consignment was delivered.
That last function is the one that matters commercially. Without a signed waybill, a customer claiming goods never arrived is difficult to argue with.
What a waybill records
- Waybill number and date of dispatch.
- Consignor — who is sending, with address and contact.
- Consignee — who is receiving, with delivery address and contact.
- Transporter — carrier name, driver, and vehicle registration.
- Goods description — items, quantity, packaging type, weight.
- Declared value, where relevant for insurance.
- Special handling instructions — fragile, cold chain, upright.
- Status — pending, in transit, delivered.
- Signature blocks for dispatch and receipt.
Why the signature is the point
An unsigned waybill is a packing list. A signed one is evidence.
The recipient's signature, with their printed name and the date and time, is what converts “we sent it” into “you received it”. Where a delivery is short or damaged, the recipient should note that on the waybill before signing — a clean signature on a damaged consignment makes a later claim very hard to sustain.
Keep the signed copy. Whoever holds it holds the proof.

In everyday small-business use the terms overlap heavily, and a single well-made document often serves all three purposes.
Waybills and invoices are different documents
A waybill records movement; an invoice requests payment. Sending goods with only an invoice, or only a waybill, causes predictable problems.
The quantities on both should match. Where a delivery is partial, the waybill shows what actually went and the invoice should bill what actually went — invoicing a full order against a short delivery is the fastest route to a disputed account.
Cross-reference them: the invoice quotes the waybill number, the waybill quotes the order or invoice number.
How many copies
Traditional practice is three: one for the consignor's records, one that travels with the driver, and one for the consignee. Where a separate carrier is used, a fourth for them.
