Free waybill generator
Handwritten waybills go wrong in the same few ways: illegible descriptions, no vehicle registration, and no usable signature block. Each of those becomes a problem only when something has already gone wrong with the delivery — which is exactly when you need the document to hold up.
What you can record
- Consignor and consignee — with contact numbers for both, not just addresses.
- Transporter details — carrier, driver name, vehicle registration.
- Itemised goods — description, quantity, packaging, weight.
- Declared value for insurance purposes.
- Handling instructions — fragile, keep upright, cold chain.
- Status — pending, in transit, delivered.
- Signature blocks for dispatch and receipt, with printed name, date and time.
Creating one in a couple of minutes
- Select the customer as consignee — saved records pull through, so the delivery address is already right.
- Enter the delivery address if it differs from the billing address. This is the most common source of failed deliveries.
- Add transporter and vehicle. Registration matters — it is how a consignment is traced if it goes missing.
- List the goods with quantities and packaging. Count cartons, not just items.
- Add declared value and any handling notes.
- Export the PDF and print copies for the driver and recipient, or share it digitally.
Getting the description right
Two rules. First, count in the unit that will be handled: “10 cartons, 12 units per carton” rather than “120 units”. A recipient counting cartons cannot verify a figure expressed in units.
Second, describe goods specifically enough to identify them. “Assorted goods” is unverifiable at delivery and useless in an insurance claim, and for anything crossing a border it will hold the shipment.
Common failures
- Billing address used as delivery address. The single most frequent cause of a failed delivery.
- No vehicle registration, making a lost consignment untraceable.
- No recipient contact number, so a driver who cannot find the address has no one to call.
- Quantities in the wrong unit, making verification impossible at handover.
- No signature captured — which removes the document's entire evidential value.
Frequently asked questions
Is the waybill generator free?
Yes — create, download and share waybills with no watermark and no card required.
What is the most important field on a waybill?
The recipient's signature, with printed name, date and time. Without it the document is a packing list rather than proof of delivery.
Why should quantities be counted in cartons rather than units?
Because the recipient counts what they can see. A figure expressed in units cannot be verified by someone counting ten cartons at handover.
Why record the vehicle registration?
It is how a consignment is traced if it goes missing. A waybill naming only a carrier with no vehicle is very hard to follow up.
Can I create a waybill from my phone?
Yes, via the browser or the Android app, which is useful when dispatching from a warehouse or site rather than an office.
