What you can record

• Consignor and consignee — with contact numbers for both, not just addresses.
• Transporter details — carrier, driver name, vehicle registration.
• Itemised goods — description, quantity, packaging, weight.
• Declared value for insurance purposes.
• Handling instructions — fragile, keep upright, cold chain.
• Status — pending, in transit, delivered.

Creating one in a couple of minutes

1. Select the customer as consignee — saved records pull through, so the delivery address is already right.
2. Enter the delivery address if it differs from the billing address. This is the most common source of failed deliveries.
3. Add transporter and vehicle. Registration matters — it is how a consignment is traced if it goes missing.
4. List the goods with quantities and packaging. Count cartons, not just items.
5. Add declared value and any handling notes.
6. Export the PDF and print copies for the driver and recipient, or share it digitally.

Getting the description right

Two rules. First, count in the unit that will be handled: “10 cartons, 12 units per carton” rather than “120 units”. A recipient counting cartons cannot verify a figure expressed in units.

Second, describe goods specifically enough to identify them. “Assorted goods” is unverifiable at delivery and useless in an insurance claim, and for anything crossing a border it will hold the shipment.

Common failures

• Billing address used as delivery address. The single most frequent cause of a failed delivery.
• No vehicle registration, making a lost consignment untraceable.
• No recipient contact number, so a driver who cannot find the address has no one to call.
• Quantities in the wrong unit, making verification impossible at handover.
• No signature captured — which removes the document's entire evidential value.
