Transport waybill template
A transport waybill is written for the driver and completed by the driver. Anything on it that cannot be filled in at a loading bay, in the dark, in a hurry, will not get filled in.

Timestamps are the billable field
Arrival and departure times at each stop are what turn waiting time into a recoverable charge. They also protect you against a customer claiming a late delivery when the delay was at loading.
Make this the one non-negotiable field for drivers. Everything else on the waybill can be reconstructed later; the times cannot.
Condition at collection
Record the state of goods when you take them. A carrier that notes pre-existing damage at collection cannot be held responsible for it; one that notes nothing inherits every defect.
For high-value or fragile loads, a photograph at collection alongside the waybill note is worth the thirty seconds it takes.
Per-drop signatures on multi-drop runs
One signature per drop, not one per run. A shortage claimed at the fourth drop of six cannot be located if a single signature covers the whole load.
Where a drop is refused or the site is closed, record that too, with the time. An attempted delivery is chargeable work and needs evidencing like any other.
Linking to the invoice
Reference the waybill number on the transport invoice, and derive the billable elements from it — distance, drops, waiting time, equipment, attempted deliveries.
A transport invoice that cannot be traced back to a completed waybill is the kind customers query, and queries on haulage invoices are expensive because the margin is thin and the admin is not.
